Pre-sorting receipts instead of receipt chaos

Clients dump a shoebox of receipts — the AI sorts, recognises and pre-codes them.

Classic software is enough — no AI needed

The problem

A large share of a firm’s time goes into mindlessly pre-sorting and entering receipts — work that is expensive, joyless and ties up skilled staff who are needed elsewhere.

The solution

Incoming receipts (photo, PDF, scan) are recognised automatically: amount, date, supplier, tax rate. The AI suggests the matching account and flags anything uncertain for review. A human decides — but only on the doubtful cases.

How it works

  1. OCR reads the receipts (runs on-premise, client data stays in-house).
  2. Classification by supplier, amount, tax rate.
  3. Account-coding suggestion based on the firm’s history.
  4. Uncertain cases are flagged rather than silently guessed.

What changes

Pre-entry shrinks drastically; skilled staff do advisory work again instead of typing. Crucially: the AI does not replace judgement, it just clears the path to it.

Honest take

Much of this is not “AI magic” but solid OCR plus classification — partly classic software suffices. A language model helps with unclear receipts but is not a must. And: on tax matters, a human must remain the final authority.
